The CE Participation – Clients Assessed by Agency report, available in BusinessObjects, helps agencies verify which of their clients have completed a Coordinated Entry (CE) enrollment. This ensures clients are actively participating in the CE process and are eligible for housing referrals and services.
Agencies can use this report to:
- Verify CE participation among clients served by their programs.
- Monitor compliance with the 90-day update requirement, ensuring CE enrollments remain current.
- Support internal data quality efforts by identifying clients who may need follow-up or re-engagement.
This report provides a clear and actionable view of CE engagement across an agency’s caseload, helping staff maintain accurate records and uphold CE standards.
Locating the Report
To find the report, follow this folder path in BusinessObjects:
Public Folder -> chicago_live_folder ->Chicago CoC Reports (Secure) ->Coordinated Entry ->CE Participation – Clients Assessed by Agency
Running the Report
Click on the report name to open it.
Once the report loads, you’ll be prompted to enter the following parameters:
- Select Agency: Choose your agency’s Agency ID only from the dropdown. Do not select individual programs or projects—this report is designed to run at the agency level.
- EDA Provider: Leave this as the default provider. Do not change this value.
- Enter Effective Date: Leave this field as-is. It is pre-set and does not need to be modified.
- Start Date / End Date: Enter the date range for the reporting period you wish to review. These fields are used to filter enrollments based on their entry dates.
Click Run to generate the report.
Understanding the Tabs
New Assessments
This tab lists clients who have new CE enrollments during the selected reporting period. It includes:
- Assessor: The staff member who completed the assessment
- Agency: The agency associated with the assessment
- Email Address: Contact information for the assessor
- ClientID / Group ID: Unique identifiers for the client and household
- Current Age: Age of the client at the time of report
- Provider ID: The CE enrollment project: Chicago Coordinated Entry System (CES) – Skilled Assessors Project (1474). This confirms that the client is enrolled in Coordinated Entry.
- Entry Date / Exit Date: Dates of CE enrollment and exit (if applicable)
- Destination: Exit destination, if the client has exited the CE enrollment
Use this tab to review new CE assessments and confirm that clients are being enrolled into the correct CE project.
Update Assessments
This tab shows clients whose CE enrollments have been updated during the reporting period, typically to meet the 90-day update requirement. It includes:
- Assessor: Staff member who completed the update
- Agency: Agency responsible for the update
- Email Address: Contact information for the assessor
- ClientID / Group ID: Unique identifiers for the client and household
- Age at Assessment: Client’s age at the time of the update
- Update Assess Date: Date the CE assessment was updated
Use this tab to monitor compliance with CE update requirements and identify clients who may need follow-up.
Users
This tab provides a list of users who completed assessments or updates during the reporting period. It includes:
- Assessor – Name of the user
- Email Address – Contact information
