Some users may have had HMIS access before, in which the following eligibility criteria will allow the transfer of their access, bypassing the new user training:
- Within the Chicago CoC and
- Currently have access to the HMIS or was active within the last 6 months
If both applies to your (or your new user's) existing or previous HMIS access, you will not be required to complete the full new user training process:
- If you will be working with the same project types, then you are eligible for a full transfer of access, bypassing all additional training.
- If you will be working with different project types, then only the project-specific course and proctor is required.
If you (or your user) do not meet the requirements, then the full HMIS training will need to be completed. See this article: Steps of Training and Receiving HMIS Access
In either case, a new account will need to be created after the confirmation from your new ATA of your new role through a Help Desk ticket, providing the following information:
- Name
- Username on the LMS (Learning Management System) - Please do not create a new account.
- Users should only have one LMS account throughout their work within the CoC in order to keep all training records under one account.
- If they have already created a new one, please have them delete it and update their old account: How to Create or Update Learning Management System (LMS) Accounts. Emails can only be used once in the platform.
- If they cannot access their old account, please let us know and we are able to update the account to their new email so they may have access to it again.
- Please note that the email associated with the LMS must be their same agency email used for their active HMIS account for verification purposes.
- Users should only have one LMS account throughout their work within the CoC in order to keep all training records under one account.
- Expected new responsibilities (ex. receiving referrals, read only, reporting, entering/updating client data, etc.)
- What specific projects will need to be accessed?
- Depending on the training previously completed and new access needed, additional training may be required
- Information about existing/previous access:
- Your old HMIS username - If unsure, please provide the name of the agency or your old email
- Are you currently employed at this agency still? If not, this account will be deleted.
- Approximate time you successfully logged onto the live HMIS site
- Your old HMIS username - If unsure, please provide the name of the agency or your old email
