Staffing Changes
- ATAs were informed to remove old ATA meeting dates and to add the new calendar
- ATAs were informed that the HMIS team is short-staffed and all questions should go to the help desk.
- CES new users will be directed to the coordinated entry implementation team - CSH and CHH
- All questions regarding training should be directed to the help desk
- ATAs were informed of the new helpdesk email (Helpdesk@allchicago.org)
Training Updates
- ATAs were informed that the PATH/Outreach online course is now available
- The proctored session concept was explained. New users are to come in and complete an assessment based on their project type and will receive a license to the system.
- The RHY course is expected to be available on May 25th.
- The SSVF course is expected to be available on April 13th.
- Recertification is still being planned out with many options being considered but is expected to be available on August 24th
- The prerequisite structure of course flow was explained.
- We plan to add services only and system navigation course. We will send out communication on when that becomes available.
- No training dates, only test dates.
- Proctored session dates will only be posted for the next two upcoming sessions at a time.
Quarterly Data Quality Process
- Timelessness is being sent through SQL and should not be sent back with the agency's DQ ART report.
- It was explained that the timeliness report can not be corrected but that the ART report can be run as many times until the data is corrected.
- The logic behind the chronic homelessness field was different than how it has been calculated previously.
- Chronic homelessness has been removed on the report and will not be affecting DQ
- Disability at the exit was not being tracked correctly
- Unit utilization was a result of duplicate CES units being added to projects.
- Paul has removed the CES units and should be reporting correctly
- It was suggested that ATAs reach out if they are experiencing any issues with submitting the report.
- We are aware that the report is creating dashes in the naming of the DQ report and should be generating underscores.
- Before submitting a manual change will need to be made to the name so the report is accepted.
- A question was brought up regarding scheduled reports not generating.
- It explained when scheduling a report it should be scheduled for the next day and not for the current date because ART is perceiving the request as going back in time.
- A question was brought up regarding income issues
- It was suggested that we will look out for these errors and that if you experience any to submit a ticket to the help desk
- A concern was brought up that some of there SSVF clients are showing up as child-only entries and missing data.
- Sal mentioned that visibility might play a part
- Paul is aware of the ticket and will follow up
- It was strongly suggested for ATAs to take advantage of the office hours that available on Fridays to talk through any data issues.
- We will be reviewing the unit list, child-only entries, and utilizations this week and will be reflective of what's going out on Friday 3/13 for the 1st round results.
- Previous DQ will not factor into this year evaluation
- We will be suggesting to the Evaluation Tool Committee that Q4 DQ should not be included in the evaluation.
- It was asked if there is a way for clients that disappear from a project would not get penalized when other or data not collected is selected for the client's exit.
- Sal informed that this question has been escalated by most CoC's to HUD
- It was asked if there was a way for them to see if a client has shown up in another agency's project.
- Sal informed the reason why the system was locked initially but currently opening the system is being looked into.
One List Issues
- One list currently is too big for ART to handle
- One list is pulling in too much data such as calculations and fields.
- We are actively working with an ART expert that will be able to help get the one list back working correctly.
- Sal informed that this should not affect the 2 to 1 matching
- Sherry brought up a concern that Skilled assessors are not using the housing history tool which affects the clients from being matched.
For Follow-up
- Many ATAs are saying they are no longer receiving the 2 to 1 matching
- An ATA mentioned that CSH told her not to assess clients that do not have a length of time prioritization even though they might be homeless
Break Out Session Notes
- Dana uses the help desk at least once a week. She often refers staff to the help desk.
- Sherry said that it's often difficult for her to find what she wants on the site. She finds it hard knowing what to search for to get the information she needs.
- Aziza would like the information (charts or images) that is needed to be viewable without having to look through a long article.
- Link embedded spreadsheets in articles to the actual spreadsheet.
- Carrie would like the article that shows hows to add a child to a household to be updated as well as the attached PDF
- Someone would like to see the history of there tickets
- Paul mentioned that nothing that they will be able to do on there own but if they reach out to the help desk we can pull a report for them
